Situation
As part of our mission at TSCHub to equip women and youth with practical skills and opportunities, we launched the Women for Impact Conference, an annual leadership and empowerment event. The first edition in 2019 was held in Beijing and brought together students, professionals, and entrepreneurs from various backgrounds. In 2020, the global pandemic forced us to take the event fully online, opening the door to participants from across Africa, Europe, and Asia.
Alongside its social goals, the event was designed to raise awareness of TSCHub as a new brand in the social impact space.

Adapting the second edition to a fully virtual, bilingual format during COVID-19
Key challenges:
Task
Manage the full project lifecycle of a women’s empowerment conference, including planning, budgeting, timeline management, resource coordination, speaker and team management, programme design, and communications. Deliver a smooth and impactful event, even with a limited budget during the first edition and a fully remote setup during the second edition. And generate enough interest for people to be willing to pay to attend an event organised by a relatively new brand.
Actions
To ensure smooth delivery, I set up three committees: Communications, Partnerships, and Logistics. I oversaw all activities and used Trello to coordinate tasks and deadlines, and recruited and managed a volunteer team, assigning roles based on individual strengths. To address limited resources, I secured sponsorships with a business incubator (covering venue and printing of promotional materials) and a restaurant (providing discounted catering). I also used Zoom to coordinate a remote team across time zones and successfully deliver the 2020 edition online.

Communications & Outreach
To reach our audience and build trust around a relatively new brand, I developed and implemented a communication and marketing strategy combining social media, community partnerships, participant engagement, and media outreach. This included creating dedicated event pages on Facebook and LinkedIn, groups on platforms like WeChat, and producing organic content around the event. we used event hashtags and tagged speakers and partners in posts to boost reach, partnered with community groups aligned with our target audience, encouraged user-generated content through giveaway challenges, and engaged local bloggers for coverage.

Produced a detailed report after the first edition of the conference, capturing key highlights, outcomes, and audience feedback. The report was tailored to inform and engage partners, demonstrating the event’s impact and helping build support for future editions. Use the arrows to flip through the report.
Edited and produced a teaser video using footage from the first edition to promote the second. The video was shared across our social media platforms to generate interest, boost attendance, and build anticipation among returning and new participants.
Created short intro videos with featured speakers ahead of each edition to offer a preview of their sessions. These videos helped familiarise participants with the content and speakers, boosting engagement and setting expectations for the event.
Also designed a full suite of branded materials including posters, agendas, speaker name badges, certificates of participation, and letters of appreciation. These assets ensured a consistent visual identity and professional presentation across all touchpoints of the conference.
